Is your business ready for Microsoft Copilot?

Copilot is only as good as the data it can see. Here is how to tell whether you are ready, and what to fix first.

Microsoft Copilot promises to draft your emails, summarise your meetings, build your spreadsheets and answer questions about your business’s own documents. For many organisations it will do exactly that. For some, it will confidently answer questions using files nobody realised were visible to everyone.

Before you buy a licence, it is worth asking four questions.

1. Is your data where Copilot can use it?

Copilot works with the data inside Microsoft 365: your email, Teams chats, OneDrive and SharePoint. If half your documents live on an old file server, in personal Dropbox accounts or as attachments in old emails, Copilot cannot see them and its answers will be thin.

The first step for most businesses is to finish the move to Microsoft 365 properly: a sensible SharePoint structure, Teams used for the work it was designed for, and the file server retired.

2. Is your data organised and tidy?

Copilot does not know that the folder called “FINAL v3 (old)” is out of date. If your SharePoint has three versions of every policy and five years of duplicated project folders, Copilot will summarise all of them. Businesses that get the most from Copilot have done the unglamorous work of archiving old content and agreeing where things live.

3. Who can see what?

This is the one that catches people out. Copilot respects your existing permissions, which sounds reassuring until you look at what your existing permissions actually are. Many tenants have sharing settings that were never reviewed: a payroll spreadsheet shared with “everyone”, HR folders inherited by whole departments, a board pack sitting in a Teams channel the whole company can open.

Today, finding that file takes someone who knows where to look. With Copilot, it takes a question: “What is the CEO’s salary?” If the permissions allow it, Copilot will answer.

Before rollout, run a permissions review, fix over-sharing, and switch on the data governance features that classify and protect sensitive files. This is not optional.

4. Do people know how to use it, and what not to put in it?

Copilot inside Microsoft 365 keeps your data inside your tenant. The free consumer AI tools your staff may already be using do not necessarily offer the same guarantees. A short, plain-language AI usage policy, which tools are approved, what information must never be entered, how to check outputs, matters more than the licence. So does an hour of practical training on prompting well.

Is it worth it?

For a business where people spend their days in email, documents and meetings, and where the data is organised and secured, Copilot can give back real hours every week. For a business where the groundwork has not been done, a handful of simple Power Automate workflows, such as automating approvals, onboarding and reporting, often deliver more value sooner, and prepare the ground for Copilot later.
