Privacy Policy
Last updated 1 October 2026. This policy explains how Ventiq Pty Ltd (ABN 34 702 823 596) handles personal information.
1. Who we are
Ventiq Pty Ltd ("Ventiq", "we", "us") is an Australian-registered technology services company providing cyber security, managed IT, networks, Microsoft 365 and AI automation, software development and technology strategy services. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy applies to our website at https://www.ventiq.com.au and to the personal information we collect when you deal with us.
2. What we collect
We collect personal information that you give us and information generated when you use our website:
- Enquiries and consultations: your name, business name, email address, phone number, the size of your organisation, the service you are interested in and anything you write in your message.
- Essential Eight readiness check: your answers to the eight questions, your result, and, if you ask us to email it, your name, business and email address.
- Correspondence: emails, calls, meeting notes and documents you share with us, including when you become a client.
- Website usage: technical information such as pages visited, approximate location derived from your IP address, browser type and referring site. Our analytics (Cloudflare Web Analytics, when enabled) does not use cookies to track you across sites. Our hosting provider records standard request logs for security and performance.
- Live chat: if a chat widget is enabled on this site and you use it, the messages you send and the technical information the chat provider collects under its own privacy policy.
We do not knowingly collect sensitive information (such as health information) through this website. If you choose to include such information in a message, we treat it with the care required by law.
3. Why we collect it
- To respond to your enquiry and provide the services you ask about.
- To send you the result of a readiness check you have requested.
- To deliver, support and invoice services if you become a client.
- To improve our website and services, and to keep the website secure.
- To meet our legal obligations.
We only send marketing communications if you have asked for them, and every such email includes an unsubscribe option.
4. Who we share it with
We do not sell personal information. We share it only with service providers who help us run the website and the business, under agreements that restrict how they may use it:
- Website hosting and security: Cloudflare, Inc. (hosting, content delivery, bot protection and analytics).
- Email delivery: Resend, Inc. (delivery of enquiry notifications and readiness-check results).
- Business email and documents: Microsoft 365.
- Live chat and scheduling providers, if those features are enabled.
- Professional advisers and regulators where required by law or to protect our rights.
5. Overseas disclosure
Some of the providers above store or process data outside Australia, including in the United States and other regions where they operate data centres. Where this happens we take reasonable steps to ensure the information is handled in a way consistent with the Australian Privacy Principles, including by using providers that commit to recognised security and privacy standards.
6. How we protect it
We apply the same disciplines we recommend to clients: multi-factor authentication, least-privilege access, encryption in transit, patched and monitored systems, and documented processes. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access.
7. How long we keep it
We keep enquiry information for as long as needed to respond and to maintain a record of our dealings with you, typically no longer than two years for enquiries that do not become client relationships. Client records are retained for the duration of the relationship and the period required by law, then securely deleted or de-identified.
8. Cookies and similar technologies
Our website works without tracking cookies. Essential technical cookies or storage may be used by security features (for example Cloudflare bot protection) and by any live chat widget you choose to use. You can control cookies through your browser settings.
9. Access, correction and complaints
You may ask us for access to the personal information we hold about you, or ask us to correct it, by contacting us via the enquiry form on our Contact page. We will respond within a reasonable time. If you believe we have breached the Australian Privacy Principles, please contact us first so we can investigate. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
10. Notifiable data breaches
If a data breach involving personal information we hold is likely to result in serious harm, we will notify affected individuals and the OAIC in accordance with the Notifiable Data Breaches scheme.
11. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last updated. Continued use of the website after a change means you accept the updated policy.
